Test Drive: Sample Management

Part 1: Ingesting Samples & Exploring Entities

1) Getting started
  • From the Home screen, click Applets > Materials Management
  • Click the Ingest tab to switch to the file-based ingestion workflow
2) Configure the Ingest Workflow
  • Under Select an Ingest Template, click the dropdown and select Demo Sample Plan.
  • Upload your ingest file by dragging an .xlsx file into the Drop file here to ingest area, or click Browse for a file. The uploaded file (sample_test_ingest_file_1.xlsx) appears in the Filename/File type table as an Excel Sheet.
  • In the Ingest Instance Name field, enter a name for this ingest session (e.g., CW 22 Apr 2026).
  • Click the Select a Parent Entity Type dropdown and select API Batch.
  • For Generate Sample ID from, click the ESP button (rather than File) so that sample IDs are automatically assigned by the system using the ESP sequence.
  • The Select Sample ID Sequence field auto-populates as AUTO DETECT. Leave this as-is.
  • Click the Ingest button to submit the ingest job. The system processes the file (a loading spinner appears).
  • Click the Create tab (next to Ingest) to explore manual sample creation
3) Navigate to the Entities App
  • After creation, navigate to the Entities module. The Entities list loads with the Entity Filters panel on the left and the entity table on the right
  • In the filters panel, set Entity Class to Sample and add Type = Endotoxin.
  • Set Created After to 04/21/2026 to narrow results to recent entries. The filtered list shows Endotoxin samples from ESP000028 through ESP000059
4) Inspect a Sample Entity Record
  • Click on a sample link (e.g., ESP000059) to open its detail view
  • Click the Data tab to see all data fields: Lot (Study-22-1), Status (Accepted), Collection Date, Product Type (L73005), Product Name, Sample Number, Sample Description (Endotoxin), Sample Composition (Test Composition), Sample Volume (mL), Storage Condition (2-8°C), and Location
  • Click the Parents & Children tab to view the entity's lineage tree. The tree shows parent Study-22-1 (API Batch) with child samples ESP000052, ESP000053, ESP000058, and ESP000059 (the current sample is highlighted in blue).
  • Click the History tab to review the full audit trail, showing timestamped actions such as ingest dependencies added, entity ingested, barcode updated, and sample name assigned
5) Customize the Entity List View
  • Click the back arrow to return to the Entities list
  • In the column header area, click the Columns panel (right edge of the table) to expand the column selector. Available columns include Customer, MES Process, Product Code, Product Name, Production Order, Assigned Fin…, Assigned Int…, Clinical Prot…, CTMC Uniqu…, Date of Birth, Date of Rece…, EDC Subject…, and many more
  • Scroll through and check/uncheck columns to add or remove them from the view (e.g., add Lot, Status, and Updated columns to display alongside Entity and Owner)
6) Save a Custo View
  • Once the desired columns are configured, click the Save View Settings As… dropdown button (top right of the entity table)
  • A Save View Settings dialog appears. In the Profile Name field, type a name for the view (e.g., Demo View Endotoxin)
  • Optionally check Make this view my default to load this column configuration automatically on future visits
  • Click Save New View to save, or Update Existing View to overwrite a previously saved view. Click Cancel to discard
